Effective Cost Control Strategies

By James Leong

by James Leong Chan Foo, Chartered Accountant (Australia)

Uncertain economic times

In the current challenging global economic environment, there is downward pressure on sales and margins. The overall effect is an adverse impact on the bottom line, leading to lower profits or even losses. In such times, reigning in costs and expenses are even more crucial. Let’s explore some cost control strategies that could help a company adapt and survive through the current uncertain economic times, as well as to position it strongly for the upturn. Broadly, we could look at them as financial and people strategies.

Financial strategies

BALANCE SHEET

There are 3 aspects in a company’s balance sheet which we could look for cash flow and cost saving opportunities:

Accounts Receivables (credit) Management

Most businesses offer credit to customers. The related costs of credit to a company include the cost of financing (borrowing cost or opportunity cost for funds tied up), cost of running credit operations, cost of time to chase for debts, cost of bad debts and cost of debt recovery (legal fees). This area is particularly critical given the present tight credit situation faced by many companies. By invoicing promptly and accurately, a company can ensure that its debt collection process is timely and efficient and that crucial cash flows are received promptly from customers. Having a robust credit management process will help a company reduce the risk of slow payments. In particular, through rigorous credit screening and taking early recovery efforts with delinquent customers, it would help limit the eventual amount of bad debt exposure and hence brings down the costs of credit.

Inventory Management

In lean manufacturing thinking, inventory represents waste. This is even more so when the company suffers from overproduction. These costs include opportunity cost of funds tied up, warehousing and handling as well as potential write offs due to stock obsolescence. Clearing out old stock will free up valuable cash flow, thereby reducing the company’s financing costs. Storage space freed up could be redeployed or rented out to generate cash flows that could offset other overheads. Accuracy in forecasting processes will help maintain an optimal, not excessive, level of inventory. Strong physical internal control processes will ensure that stock items are not lost to pilferage, which is another aspect of inventory costs.

Fixed Assets

The current economic slowdown represents a valuable opportunity to review existing processes for efficiency and productivity gains.

If processes can be streamlined, redundant functions can be eliminated. This would in turn free up capacity and release surplus equipment. These could either be sold for cash, or be leased out to generate cash flows that will offset existing running expenses. Outsourcing certain functions would also free up infrastructure resources and enable the liberated cash to be redeployed. No further costs would be needed to maintain or upgrade equipment to maintain productivity.

Income Statement DIY (Do-It-Yourself)

To the extent you can get your customers to serve themselves, you have transferred part of the operating costs to them. Think of ATMs (Automated Teller Machines) which dispense money and other banking machines that allow customers to update their bank savings passbooks and topping up of petrol at petrol stations by patrons. This mode of operation allows companies to keep a leaner staff strength while maintaining its operations.

Buy in Bulk

If concentrating your purchases and buying in bulk make sense for your business, this would reduce reordering and receiving costs. Paperwork and payment by finance and other departments would also be reduced. If you are in the cashterms business, i.e. you receive cash upfront from customers, consider paying cash upfront to your supplier in exchange for a larger discount. This could in turn boost sales and profit margins.

Accumulate and Batch

Avoid adhoc processing where possible as this disrupts the normal flow, for example, such as making an urgent payment to a particular supplier. The cost of processing an individual item goes up phenomenally as compared to processing it in a batch. This would be particularly true too if your company ships a small quantity of order each time for a customer. Consider enticing your customer with a larger minimum order quantity for each sales order.

Conserve Energy

Oil prices have remained high in spite of weak demand in many business sectors. Keeping your energy bill low should be an important short term and long term cost saving objective. Switch off electronic gadgets when not in use. They consume power even when in standby mode. Use energy efficient air-conditioner and bulbs. Research shows that energy-efficient bulbs last 10 times longer and consumes 80% less electricity.

Look for Free Stuff

Are there free lunches? Yes—think of Skype for international communication via internet. Sign up for free incoming call mobile phone packages for your staff.

Go Electronic

Think of automated voice responses, e-invoicing and e-authorisation of transactions. Print less paper and use

electronic archives.

Update your Technology

Use up-to-date equipment and software. This would reduce waiting time for processing, equipment down time and maintenance expenses. Besides, you get to tap into more capabilities and productivity by using the latest

software tools with enhanced time saving features. Overall your staff would be more productive and could do more with less. Instead of traveling, think of using web conferencing to replace your regular overseas meetings.

Outsource

When a company outsources, it in effect only pays for effective performance. As are result of outsourcing, the need for supervisory staff would be reduced. This would in turn reduce personnel costs and eliminate the need to upgrade the skills of the internal workforce for a particular function. The costs of supervision, attrition and resourcing (hiring) and training could be avoided.

Eliminate Processes

Very often, in a down time, companies delayer costs through headcount elimination. Unfortunately, the existing job processes remain the same. This leaves the leaner remaining workers having to handle the same volume of work. The result is a tremendous amount of stress for these staff and morale takes a hit, which leads to higher attrition. This would lead to cost of resourcing and training of new and inexperienced workers who will initially perform at a lower level of productivity. It is hence important to review the existing process for inefficiencies and streamline them to not only avoid an unfavourable cost impact, but also to position the company more competitively for the coming upturn.

People Strategies

Structure determines behavior. At the end of the day, it is the people in a company that ultimately drives and delivers the results of a company, whether it is revenue or cost savings. Hence people strategies are an important part of the equation. To encourage the desired response, the company needs to have effective structures that are geared towards the results it wants to achieve.

Accountability

Provide the right incentives for the right behavior. If you want to control a particular cost or expense item, track, measure, report and make someone accountable for it. For example, some companies impute a finance charge on the business units’ level of accounts receivables and inventory to encourage efficient management so as to achieve the above objectives of lowering then cost of financing working capital.

Build the right culture

Punctuality

Start meetings on time and end on time. Much time and hence money is wasted when meetings start late because people show up late. Time and money are again wasted with lengthy meetings. Ensure that an agenda with a time frame is used. Assign a time keeper for your meetings to keep them on track.

Do it Right the first time

Mistakes are costly to rectify. If everyone checks their work, this would greatly reduce unnecessary mistakes. Make this a part of the company culture.

When teams do not cooperate with each other, and where interdepartmental conflicts are rife, the company suffers from a lot of inefficiencies. Much time is spent on conflict resolution resulting in productivity lost. Gel the team together with a common vision, resolve differences and put in place a structure for conflict resolution. Upskill the team in emotional intelligence and develop the team spirit. Move them from frequent ‘storming’ to ‘performing’. This would not just reduce your costs but may actually increase your revenue when the team starts to collaborate with each other and engage the customer more creatively.

Conclusion

In times like this, it is important to think creative to survive. While controlling or eliminating costs in the short term, do not lose sight of the strategic focus of your business over the long term. Take advantage of the lull period and enhance your long term competitiveness.

Congressional panel concludes Gulf War Syndrome a legitimate condition

Thursday, December 4, 2008

A study by the United States Department of Veterans Affairs presented to a Congressional panel on November 17, has confirmed that Gulf War Syndrome is a legitimate illness contracted by soldiers who took pyridostigmine bromide pills in order to counter the effects of nerve gas during the First Gulf War in Iraq. Several other factors likely contributed to Gulf War Syndrome, including excessive exposure to pesticides, mainly Permethrin and DEET, and chemical weapons residue caused by the American demolition of the Iraqi munitions depot in Khamisiyah.

The report estimates that about 1 out of every 4 veterans of the Gulf War are affected by this illness; this could mean anywhere between 175,000 and 210,000 soldiers are affected by the syndrome. The report also concluded that veterans exposed to the toxins spread by the destruction of the munitions depot have died of brain cancer at double the rate of other Gulf War veterans. Other problems associated with the condition are: fatigue, headaches, joint pain, rashes, breathing difficulty, forgetfulness, circulation problems, and cardiac troubles.

Gulf War Syndrome has been the focal point of veterans rights groups since the illness first became noticed in the early 1990s. The United States and British governments claimed that the illness was merely psychological trauma from war misinterpreted as an illness, and veterans could not receive medical coverage for the illness.

“I feel vindicated, but I’m angry. This is so long overdue,” said Denise Nichols, an advocate for veterans’ rights and a nurse who served during Operation Desert Storm. The National Gulf Veterans and Families Association (NGVFA) said that many veterans committed suicide after learning that the government did not recognize their illness as real.

Romanian oil company claims Iran has seized one of its rigs

Tuesday, August 22, 2006

An Orizont oil platform in the Persian Gulf, owned by the Grup Servicii Petroliere (GSP) of Romania, has allegedly been boarded by Iranian troops after being fired at by a helicopter. Romanian officials have not “heard anything” from the workers on the platform “since then [the attack].”, according to a company statement. The Iranian news agency IRNA claims that the personnel who boarded the platform were not “troops” but “police”.

“We were called by one of our employees at 9.15 a.m. local time (0615 GMT), who told us a military helicopter opened fire against the Orizont rig, and by 9.45 Iranian troops got on board. Since then, we haven’t heard anything from them,” said Radu Petrescu, a spokesman for Servicii Petroliere.

According to a representative of GSP, Lulu Tabanesku, “Iranian [troops] used machine guns” and Iran is “in control of the rig. We cannot contact the rig.” There were at least 26 workers on the 13,000-ton platform when it came under fire. There is no word on whether there are any casualties.

The Foreign Minister of Romania is scheduled to have a meeting to discuss the attack with Iranian officials on Wednesday, but so far Iran has yet to release an official statement regarding the attack. Romanian president Traian B?sescu was unable to reach Iran’s president Mahmoud Ahmadinejad on Tuesday, the day of the rig’s seizure. August 22 is an Iranian National holiday.

The Romanian company GSP operates the Orizant and Fortuna rigs that are both subjects of a legal dispute with the Oriental Oil Company who rents the oil rights to Petro Iran Development Company (PEDCO), a broker for the National Iranian Oil Company. According to PEDCO, an Iranian court ruling in the contract dispute between the two companies found that both rigs should remain in Iranian waters. GSP moved the Fortuna rig on August 15, claiming the contract was cancelled illegally, Iran accused the Romanians of “hijacking” the platform.

Grapefruit Pectin Fiber Can Maintain Good Cholesterol Levels And More

By Darrell Miller

Grapefruit pectin fiber is a source of soluble fiber that can bind to cholesterol and inhibit the formation of atherosclerosis. It is also effective in maintaining good blood sugar levels, and promoting a healthy colon. However, before discussing how grapefruit pectin fiber works in these ways, it is first necessary to explain how they occur in the first place.

CHOLESTEROL LEVELS

First cholesterol. This is a steroid lipid, most of which is biosynthesized by your body rather than being present in your diet. Although it has a bad name health wise, cholesterol is actually essential to good health because it helps your digestive system break down fast, it strengthens cell walls and is a major ingredient in the manufacture of vitamin D by your liver. It is also essential for the formation of several hormones, including cortisone, cortisol and aldosterone by the adrenal glands, and also of estrogen and testosterone. A bloodstream without cholesterol is therefore not good for you.

Given that cholesterol is essential for good health, then why does it have such a bad press? The root cause of that is that cholesterol is not water soluble, and to be carried round the bloodstream to where it is needed it needs some transport. For that, it uses low density lipoproteins (LDLs). However, its not a return journey, and to get back they must use another form of lipid known as a high density lipoprotein (HDL). The protein part is water soluble, wile the lipid part can attach to the cholesterol and carry it around the bloodstream.

The problem arises with free radicals, which are oxygenated molecules that are generated by the bodys metabolism, and also created from pollutants, such as pesticides and cigarette smoke, and the UV portion of daylight. These can oxidize the low density lipoproteins so that they can be attacked by phagocytes (while blood cells) deposited as plaques in the artery walls. This hardens and thickens the arteries, reducing the hearts blood supply which in turn can cause strokes and heart attacks.

This can be prevented in a number ways, the major of which are by consuming plenty antioxidants in your food, mostly contained in phytochemicals (plant chemicals), reducing your LDL cholesterol levels to the minimum needed by your body, and also by increasing the HDL levels in your bloodstream by as much as possible.

Grapefruit pectin fiber can bind to cholesterol, and prevent it from being deposited in the artery walls by the oxidized LDL. A sixteen week double blind study (neither the subjects nor those carrying out the test and analyzing the results knew who were given the placebo) found that grapefruit pectin successful reduced the low density cholesterol level of 27 subjects by 10.8% and overall plasma cholesterol by 7.6%. These volunteers were at a medium to high risk of atherosclerosis due to a high LDL cholesterol concentration in their blood.

Animal studies have also been carried out, whereby animals were fed a high cholesterol diet, and those fed a high fat diet were found to have an average of 45% narrowing of their arteries, and those fed the same diet, but with added grapefruit pectin fiber, were found to have only 25% narrowing, thus corresponding with the results of the human volunteers.

BLOOD SUGAR

It is essential that you maintain a stable level of sugar in your blood since the body reacts to low blood glucose by making you feel hungry, and thereby forcing you eat. If you are trying to lose weight you will find it very difficult if your blood sugar levels fluctuate. Grapefruit pectin can reduce the rate at which carbohydrates enter your bloodstream, and therefore the rate at which sugars are absorbed.

Studies have also indicated that pectin can even out your blood sugar concentration, so that you experience fewer fluctuations or sudden spikes that can make you feel either very hungry, and so binge on carbohydrates, or very satisfied so that you eat nothing at all. The maintenance of a stable level of glucose in the blood is necessary for a normal life since it is that that determine your need to eat food. If your blood sugar is low, the desire to eat high calorie carbohydrate food is uncontrollable.

This is the theory behind the so-called grapefruit diet. You eat a grapefruit prior to a meal, and allow it to be digested. The grapefruit pectin will make you feel full and so eat less, so that you can eat normal foods, but still lose weight. Many people take the grapefruit pectin in supplement form for its ease and economy of use. It is also more convenient since you dont have to carry grapefruit around with you everywhere you go.

A Healthy Colon

Like any other soluble fiber, grapefruit pectin fiber is a dietary fiber that can help to maintain the health of your colon. In fact it is the only one of the basic four fibers of lignin, cellulose, hemicelluloses and pectin that is soluble. Although referred to as soluble, pectin softens and expands and provides substance and added weight to faeces in order to allow it to pass easier through your colon.

Other than ensuring the easy passage of your stool through your colon, and avoiding constipation, grapefruit pectin fiber can help to prevent excessive growth of bad bacteria in the intestine, and because it accelerates the passage of substances through the colon, there is less time for toxic or cancerous substances to be in contact with your bowel lining. It is that which causes bowel cancer, and grapefruit pectin fiber can help to prevent it.

Fiber can also help to prevent diverticulosis, where the intestinal wall develops small sacs and becomes weakened. It also prevents hemorrhoids, eases the symptoms of IBS (irritable bowel syndrome). In short, it offers many benefits for the health of your colon, and can help to cure many bowel conditions.

However, it is important that you don’t just rush into using any form of dietary fiber, but take it gradually. You start with a small intake, and then increase it slowly; since it is not absorbed through the intestine too much can lie in your colon and ferment, causing any number of intestinal problems. When used properly it can ease the symptoms of irritable bowel syndrome, but if used to excess, or too quickly, can actually cause the same symptoms, in addition to blocking the absorption of essential minerals such as iron, zinc and calcium.

Grapefruit pectin fiber can do a great deal for health, including maintaining good blood sugar and cholesterol levels, and helping to keep your colon healthy. It is available in convenient supplement form, but make sure that you drink sufficient liquid each day in order to prevent the fiber blocking your intestine rather than allowing free passage of waste product into, through, and out of your colon.

‘Black box’ found near crash site of Airblue flight

 Correction — August 6, 2010

The recording of technical data such as airspeed, altitude, control inputs etc is not handled by the cockpit voice recorder, as suggested in this article, but is in fact handled by the flight data recorder.

This article uses the term ‘black box’ for the cockpit voice recorder, a device which records all the sounds in the cockpit. However, the flight data recorder is also often referred to as a black box.

Monday, August 2, 2010

Investigators have found the black box of an Airblue flight that crashed into the Margalla Hills of Pakistan’s capital city on Wednesday. The flight data recorder was also recovered Saturday morning. Airblue Flight 202 departed from Karachi, Pakistan, and was bound for the capital Islamabad when it crashed into the Margalla Hills due to bad weather conditions. All 152 people aboard, including the 6 crewmembers, were killed.

Junaid Amin, the head of Pakistan’s Civil Aviation Authority, told CNN the recorders will be sent to either Germany or France, which have the necessary resources to analyze the data. Such an investigation could take months to complete, however.

The black box records communication data and technical information such as speed and altitude, as well as conversations in the airplane cockpit. It could thus help investigators determine why the plane crashed.

93-year-old Michigan man freezes to death after electric company limits his power usage

Wednesday, January 28, 2009

Marvin Schur, a 93-year-old man from Bay City, Michigan has died after the electric company limited his electric use due to his failure to pay over US$1,000 in past-due payments.

Bay City Electric Light & Power installed a power-limiting device on his home on January 13. The device would limit the amount of power the resident uses and would essentially shut it off if that limit is reached, or if the resident fails to pay the outstanding bill within 10 days of installation. In order for the electricity to be turned back on, the limiter must be reset by pushing a button.

Bay City power says that a warning, indicating that the power was to be turned off and a limiter installed, had been placed on Schur’s front door. Despite that, the company says that they are now “looking at our website and possibly doing an automated phone message. We obviously need to get the word out.”

The autopsy performed on Schur’s body concluded that he had died “a slow, painful death” caused by hypothermia. Dr. Kanu Virani, who performed the autopsy, explained: “Hypothermia shuts the whole system down, slowly. It’s not easy to die from hypothermia without first realizing your fingers and toes feel like they’re burning.”

It was less than 32 degrees Fahrenheit (0 Centigrade) in Schur’s home when neighbors found Schur dead on January 17. Virani commented that it was his first time performing an autopsy on a body in which “the person froze to death indoors.”

“His furnace was not running – the insides of his windows were full of ice the morning we found him,” said George A. Pauwels Jr., who was with his wife when they found Schur’s body.

In Michigan it is illegal for a utility company to disconnect power to any home between November 1 and March 31 when a resident is over the age of 65. Limiters are also not supposed to be used during that time frame. However, municipally-owned electric utilities like the one in Bay City, are not regulated by the state. The Michigan state attorney general’s office has launched an investigation into the incident.

Residents around Schur’s home say he was hard of hearing, and the city states that the device’s function and operation were never explained to him. When word of the story got around, people from all over the United States began to call the city in anger.

“I’ve taken calls from Canada, Massachusetts, Texas, New York, Alabama – and that’s just the ones I can think of off the top of my head,” said Melody Roth of the city’s administrative office, who also added that people from all over are “calling all city departments, not just our office.”

Schur has no known children, and his wife had died several years prior to the incident.

Time Warner/Comcast bid to snap up Adelphia cable service

April 9, 2005

A bid topping $17.7 billion was jointly proffered by Time Warner Inc. and Comcast Corporation on Thursday to buy beleaguered Adelphia Communications Corporation in an industry consolidation move. Adelphia is the fifth largest cable service provider in the United States with nearly 5 million subscribers.

The market-share grabbing bid trumps the previous Cablevision offer of $16.5 billion. The bid is under scrutiny by the presiding judge over the Adelphia’s Chapter 11 bankruptcy filing, and must also be approved by the company’s creditors owed in the range of $20 million.

The acquisition race to gain dominance in the cable service provider market is driven by the high cost of installation and maintenance of cable lines. Fiber optic networks deliver traditional entertainment programming over a cable wire and is becoming increasingly popular for broadband internet content. The growing trust and recognition of Voice over Internet Protocol (VoIP) suggests phone service subscribers will eventually migrate to cable voice communication as opposed to keeping with traditional copper land lines. Telephone company operators are scrambling to keep up.

The largest percentage of the bid would be put up by Time Warner (TW), who could gain by getting subscribers from the valuable Los Angeles market currently owned by Comcast and Adelphia. TW can also simultaneously divest itself of a stake owned by Comcast in TW by making a tax-free swap using some of the newly garnered Adelphia subscribers.

While the consolidation would likely get a look by the government with an eye towards a growing monopoly in the market, it would doubtfully be blocked considering the existence of competing technologies. Competition exists in the form of still numerous television by airwaves usage, satellite providers, radio content companies, and telecom providers.

Adelphia suffered a corporate scandal in 1992 with similarities to the WorldCom fall. Members of the Rigas family, founders of the company, were alleged to have siphoned off millions of dollars and hidden $2.3 billion leading to the bankruptcy filing. John Rigas and son Timothy were convicted July of 2004 and await sentencing.
